Creating Programs (Best Practices)

Overview

Maintaining good program hygiene will help keep your database clean. Making sure that your Programs are titled well and setup efficiently will allow both you as the Admin as well as your Customers to navigate Captyn more seamlessly and also know exactly what it is they are looking for.


Things To Do

  • Make sure your program name is repeatable.

    • You should always be able to re-use a program over time without having to change it.

    • The program name should be able to be used on multiple offerings.

  • Ensure a program can be defined with a single description, including optional skills and photos.


Good Examples vs. Bad Examples

✅ Intro to Basketweaving

✅ Backstroke

✅ Fundamentals of Personal Training

✅ Level 1


X Group Classes —> This is too broad of a program name, more specificity is needed somewhere for your customers to know what they are signing up for.

X 8 & under Backstroke —> No need to use ages. Captyn provides areas that are filterable for this.

X Tuesday Fundamentals with Coach Amy —> No need to use days or instructors in your Program Name. Captyn provides areas that are filterable for this.

X Level 1 - Fall 2026 —> No need to use dates. Captyn provides areas that are filterable for this.


Things to NEVER Include in a Program Name

These details are already presented on each offering and they are filterable. You will be able to highlight these details using tabs and subtitles as shown in the next section.

  • Days of the week

  • Dates

  • Ages

  • Times the offering meets

  • Location

  • Instructor/Coach name

Using these details in a program name will create a future mess in your database.


Tags & Promo Subtitles

Use these to highlight details to group together similar offerings and programs.


Tags

  • Tags are supplemental filters that can be added or modified at any time. These can be attached to any offering as well.

  • Modifying a tag doesn't change any details of the offering. Tags are only for grouping and filtering like offerings together.

Promo Subtitles

  • Promo subtitles are free text fields on each offering that allow you to promote anything that may already be filterable.

    • For example, you may want to highlight the instructor or the time of day.

    • While these are already filterable, the promo subtitle repeats the information to better inform your customers.

  • Many times, the promo subtitle is not necessary.
