Overview
There are a handful of reasons that your USA Swimming data might not be updated. We will explore those reasons in this article.
Potential Reasons for Incorrect Data
Captyn is connected to USA Swimming by way of an active API. This is not a real-time API, which means that updates do need to get sent back and forth between USA Swimming’s server and Captyn. When a family adds a swimmer in USA Swimming, Captyn will get a ping when the USA Swimming server sends that data to their API. Captyn is usually able to make the initial setup of the new swimmer with the corresponding USA Swimming ID quickly. This is beneficial because it allows swimmers to become eligible for certain groups and meets/meet entries.
API Limitations
However, with that, there can be times when a change is made to a swimmer that does not get sent out or picked up. What we recommend doing here is to wait overnight, because it is during that time at all API metrics are updated. A lot of the time, that overnight rebuild will solve these scenarios and get things back in line.
Incorrect Data
It is quite possible that incorrect data is loaded into USA Swimming. This is seen in the scenario where a family has multiple swimmers, and sometimes the ID gets appended to the incorrect swimmer. If you are able to catch this, there is an easy remedy to fix it:
Edit the profile of the first swimmer that is linked to USA Swimming, albeit if wrong. Copy and cut the USA Swimming ID from the profile. Then, go to the correct swimmer’s profile, edit the profile in Captyn, and paste the USA Swimming ID into the correct participant’s profile. This will place the USA Swimming ID on the correct profile in Captyn.
Something Else
If neither of these options work, it might be time to reach out to Captyn and have our team investigate what might be going on.
